Importing Multiple data sources

We can handle text files (including XML), collecting data from other databases via SQL and direct input from other systems into our input tables.

Validation

Wherever possible we use the finance system’s API to post data and we expect the API to provide basic validation.  We can also include extra layers of validation based on any automated set of rules you require.


For any import, text files in particular, we can ensure an ‘all or nothing’ approach (i.e. if any document in the file fails validation none of the documents are posted).

Data manipulation

Sometimes it is necessary to manipulate the data before posting.  For example, one of the leading suppliers of front desk systems for hotels has a back office interface that regularly outputs unbalanced revenue journals (it is a VAT rounding issue because they always round the sum rather than summing rounded numbers).  In that case we add an extra posting row to write off the difference.


We can automatically apply code mapping, currency conversions and inter-company journals as required.  We can also look for missing account details in other systems.

Archiving and reporting

Any text files that have been successfully imported are, by default, moved to an archive folder.  The system retains a history of all activity and any error messages returned by the finance system’s API.  All of this activity can be reported on as required.

Automation and manual imports

The application can be run on demand manually from the desktop, or automatically from a scheduled task.  We do not offer the application as a Windows service because of issues with some finance system API’s.

Email alerts

For automated imports we offer configurable email alerts for errors only, or any activity.
